Corporate events are usually planned by people who already have full-time jobs, HR managers, admin teams, executive assistants and marketers. This checklist is designed for them: practical, ordered and easy to share with stakeholders.
1. Objectives and approvals
Before anything is booked
- Write down what the event must achieve, recognition, alignment, celebration, a launch or client relationships.
- Define the audience and expected headcount.
- Agree the budget and who controls it.
- Identify every approver: leadership, finance, procurement, legal or brand.
- Confirm procurement requirements for vendor onboarding and payments.
2. Format and venue
Choosing the setting
- Decide the format, town hall, award night, offsite, conference, dinner or celebration.
- Choose in-office, hotel, resort or outstation based on the objective and budget.
- Check venue capacity for your seating style.
- Confirm AV that is available in-house versus what must be brought in.
- Review load-in windows, sound limits and decor rules.
- Plan employee transport, especially for evening events in Bengaluru traffic.
3. Programme and content
Building the run-of-show
- Draft the agenda with timings for every segment.
- Confirm speakers, hosts and award presenters.
- Set a deadline for presentations, videos and award citations.
- Plan transitions between segments so the energy never drops.
- Schedule a technical rehearsal for key moments.
4. Production
Stage, sound and screens
- Stage size and design that suits the venue and the programme.
- Microphones for every speaker, plus spares.
- Screens sized for the room so text is readable from the back row.
- Lighting for the stage and for photography.
- Backup power and backup copies of all content.
5. Branding and experience
What guests see and feel
- Brand assets checked against guidelines before printing.
- Entrance, stage backdrop and photo areas designed together.
- Dietary requirements collected for catering.
- Accessibility needs considered for every attendee.
6. Event day
On the day
- A single run-of-show shared with every vendor and internal stakeholder.
- Named contact for each area, stage, registration, catering, transport.
- Emergency contacts and a basic first-aid plan.
- Someone responsible for keeping leadership on schedule.
7. After the event
Closing well
- Share photographs and highlights internally.
- Collect feedback from attendees and stakeholders.
- Reconcile the budget against actual costs.
- Note what to repeat and what to change next time.
